The two businesses employ around 40 fulltime and contract staff with a turnover of around GBP8M.

The Role:

Reporting to the Head of Finance your responsibilities include but it is not limited to:

Order Admin Duties

- Assist with processing and order placement of new business orders

- Assist with renewals (preparation of quotes, placing orders with suppliers and raising corresponding sales invoice, CRM Contracts

- Raise cases for projects, new orders where applicable and update consulting spreadsheet

- Assist with sending out renewal quotes via docusign

- Chasing up on renewal quotes to obtain customer order

- Liaise closely with Maps Team on when and what renewals to send out

- Update Maps spreadsheet with relevant information

- Participate in weekly Maps call with Google

- Order Tracking - hardware shipments ( Liaise with Suppliers to obtain Proof of Deliveries)

- Credit checking

- Stationery ordering

- Provide Holiday cover

- Other Ad Hoc duties as required

In addition to above Assisting Finance team with

- Raising sales invoices

- Emailing invoices when covering Finance Leave

- Prompt chasing of payment of sales invoices

- Check expenses and receipts to ensure they're accurately recorded and the supporting documentation is adequate

Required Skills:

- Strong computer skills (MS Office, Excel, Sage)

- Good Telephone Manner

- Excellent organisational and time management skills

- Excellent communication and interpersonal skills

- Ability to work under pressure and meet targets and deadlines and able to work in a busy office environment

- Able to respond effectively to changing priorities and able to manage high volume workload

To be successful for this role as an Order Admin Assistant/Accounts Assistant you must have strong numeracy skills, attention to detail, and would have ideally worked within a fast paced environment. Previous experience is not essential as training will be provided, would suit hardworking and enthusiastic College Leaver.
